Terms and Conditions for
Roo's Champs Birthday Parties

Roo’s Champs Pty Ltd (“we”, “us”, “our”) is committed to providing the Host Family making the booking ("you") with a wonderful birthday party full of fun, great memories and ease. The Terms and Conditions for Roo's Champs Birthday Parties are shown below, helping provide clarity about party details.

1. Booking and Payment

  • After you complete the Party Booking Form, we will confirm availability of the venue on your preferred and alternative dates.

  • A non-refundable deposit of 50% is then required to secure your booking.

  • The balance is due 7 days before the party.

  • Payments are processed via Stripe payment link sent to you via email / text or via manual bank transfer.

 

2. Cancellation and Refunds

  • Deposits are non-refundable.

  • If you cancel more than 7 before the event, the balance (excluding deposit) will be refunded.

  • If cancellation occurs within 7 days, no refund will be issued. We will reschedule subject to availability and with an additional payment for the sports venue hire fees.

  • Roo’s Champs reserves the right to cancel in exceptional circumstances, in which case a full refund will be offered.

 

3. Party Structure

  • Standard party length is 120 minutes, and run by 2 Roo's Champs Coaches:

    • 15 minutes free play using Roo's Champs sports equipment

    • 50 minutes Roo's Champs sports-based, age-appropriate activities, based on your chosen theme  

    • 10 minutes visit from Roo 

    • 30 minutes for food at the party table

    • 15 minutes for farewells

  • Roo's Champs parties are suitable for children between 1-6 years old.

  • Up to 20 children may attend. Additional children may be accommodated at $30 pp (must be arranged in advance). 

 

4. Guardian Responsibilities

  • Guardians (e.g. parents, grandparents, carers) must remain present and are responsible for supervising children throughout the party.

  • Guardians must inform Roo’s Champs in advance of any medical conditions, allergies, or additional needs of attending children.

 

5. Safety and Liability

  • Roo’s Champs takes all reasonable steps to ensure safety, but participation in physical activity involves some risk.

  • Guardians accept responsibility for their children’s participation and must complete the Roo's Champs waiver before participating.

  • Roo’s Champs is not liable for personal property brought to the event.

 

6. Venue and Equipment

  • Roo's Champs is responsible for providing sufficient safe space for activities at the sports hall venue you select at booking.

  • Roo’s Champs provides all sports equipment.

  • Set-up and pack-down times is included in the party booking.

 

7. Photography and Media

  • Roo’s Champs may take photos/videos for promotional purposes with your prior written consent, at time of your booking.

  • You may remove your consent at any time by notifying us at the contact details shown below.

 

8. Self-catering and decorations

  • You may bring decorations, food and drinks. Please check with us to confirm whether your chosen venue is licensed for alcohol.

  • You may use the self-catering facilities at the venue and are responsible for clean-up afterwards.

  • You will have 30 minutes before and 30 minutes after the party to complete set-up and pack-down of your decorations, food and drinks.

 

9. Catering

  • If you choose to include catering through Roo’s Champs’ approved provider, the catering will be supplied by a third-party provider.

  • Roo’s Champs will facilitate the booking and payment on your behalf, but the catering agreement remains between you and the catering provider.

  • Roo’s Champs accepts no liability for food preparation, quality, or allergies.

  • It is the responsibility of the parent/guardian to inform Roo’s Champs (at least 7 days before the party) of any food allergies or dietary requirements. Roo’s Champs will pass this information to the catering provider, but cannot guarantee that all requests will be accommodated.

  • Roo’s Champs does not accept responsibility for any allergic reactions, food-related illness, or issues arising from catering services.

 

10. Agreement

  • By booking a party with Roo’s Champs, you agree to these Terms & Conditions.​

  • We may update the Terms and Conditions for Roo's Champs Birthday Parties from time to time. Any changes will be posted on our website with the updated effective date.
